How to assess an overseas robotics supplier before a pilot

A practical evidence check for Australian robotics buyers: define the complete system, remote access, data, support, import responsibilities and pilot proof before treating a supplier as deployment-ready.

A large supplier list is only the start

Finding an overseas robot manufacturer can be useful, but a company name, product page or impressive demonstration does not establish that the complete solution can be deployed at an Australian site. The buyer still needs to identify the task, configured system, local responsibilities, data flows, support route and evidence required from a controlled pilot.

Define the complete system and accountable parties

Start with the exact application boundary: robot, controller, tooling, sensors, software, network connections, charging or utilities, safeguards, facility interfaces and any cloud service. Then name who will design, integrate, commission, support and operate each part. A capable robot platform can still leave an unowned gap between the manufacturer, local integrator and customer.

ISO 10218-2:2025 addresses industrial robot applications and cells across design, integration, commissioning, operation, maintenance and decommissioning. Its public scope is a useful reminder that the application is a complete lifecycle system. The standard does not approve a particular supplier, import or site, and other robot classes and applications may require different requirements.

Ask how the robot connects, updates and shares data

Document every connection that crosses the site boundary: remote support, telemetry, software licensing, firmware updates, mobile applications, cloud storage and provider access. For each path, record its purpose, data, initiating party, authentication, approval owner, logging, revocation and what happens when the connection is unavailable. An answer such as 'the robot needs internet' is not yet a supportable design.

The Australian Signals Directorate's operational-technology principles put safety first, treat OT data as valuable and state that the supply chain must be secure. Its more recent secure-connectivity guidance asks owners to consider their ability to influence supplier controls and whether contracts support updating, access control, forensics and monitoring. These principles frame questions for the responsible security and engineering teams; completing a worksheet is not a cybersecurity approval.

Make import and local support responsibilities explicit

Agree who is the importer, who checks the applicable requirements, what arrives with the equipment and what must be completed locally. The Australian Government's importing guidance says importers need to consider declarations, permits, biosecurity, duties, taxes and product-specific requirements. The applicable obligations depend on the goods and use, so the project owner should obtain appropriate customs, regulatory and legal advice rather than rely on a generic checklist.

Support needs the same precision. Record service territory, working hours, escalation contacts, spare-parts route, software support period, language, travel assumptions and the local person authorised to recover the system. A global sales presence is not evidence of local response time. A local reseller name is not enough unless its responsibilities and authority are confirmed for the proposed configuration.

Request evidence in layers

Do not collapse these layers into one green tick. A provider statement can justify the next document request without proving the claim. A certificate can be relevant without covering the complete application. A successful demonstration can justify a controlled pilot without proving production performance. Keep the evidence reference, date, configuration and responsible reviewer beside every conclusion.

  • Provider statement: a dated answer about the proposed configuration, territory or support model.
  • Document reviewed: an identified manual, drawing, certificate, test record, bill of materials or commercial term checked by the responsible reviewer.
  • Demonstrated: the configured function shown under agreed conditions, with the result and exceptions retained.
  • Site validated: the complete task tested at the intended site or a representative environment against pre-agreed acceptance criteria.

Use the assessment to decide the next step

The useful output is not a universal ranking of suppliers. It is a short list of confirmed facts, material unknowns, owners and next evidence actions for one deployment question. A candidate may progress to a technical call, document review, sample test, site survey or bounded pilot. It should stop when a hard task, safety, security, support, legal or commercial constraint cannot be resolved.
